Job description
Woodward Financial Advisors is seeking a Client Service Associate & Executive Assistant to join our growing independent Wealth Management firm located in Chapel Hill, NC. Come be a part of our team of hard-working, dedicated, and fun-loving individuals!
The Client Service Associate & Executive Assistant is the welcoming face of our firm and a key member of our Operations Team. This hybrid role combines client service, office management, executive support, and business operations. Every day, you'll help create exceptional experiences for our clients while supporting our advisors and Leadership Team behind the scenes.
This is a highly collaborative role with broad responsibility across the firm. One moment you may be greeting clients for a meeting, the next coordinating executive calendars, planning travel, managing office operations, or helping execute a marketing initiative. Your work will allow our advisors to spend more time serving clients while enabling our Leadership Team to focus on the strategic growth of the firm. We're looking for someone who enjoys taking ownership, identifying opportunities for improvement, and making an immediate impact.
What you'll get to do immediately:
Client Experience
- Welcome clients, prospects, vendors, and guests with warmth and professionalism
- Answer and direct incoming phone calls while managing the firm's Zoom phone system
- Prepare conference rooms and ensure every client meeting delivers an exceptional experience
- Coordinate client birthday cards, milestone gifts, holiday gifts, and appreciation initiatives
Executive Assistant to Leadership
- Manage calendars for members of the Leadership Team
- Coordinate internal and external meetings with clients, centers of influence, vendors, and strategic partners
- Schedule business travel, conferences, hotels, and itineraries
- Assist with scheduling and preparation for quarterly planning sessions, leadership meetings, and strategic projects
- Prepare meeting agendas, presentations, reports, and other executive materials
- Track action items and assist with follow-up on key initiatives
- Manage incoming mail and organize executive correspondence and communications
- Handle confidential information with professionalism and discretion
- Anticipate leadership needs and proactively remove administrative obstacles
Office Operations
- Coordinate advisor calendars and client meeting scheduling
- Manage and optimize the firm's Calendly scheduling platform
- Maintain a welcoming, organized, and professional office environment
- Maintain office supplies, kitchen inventory, refreshments, flowers, and meeting materials
- Coordinate office maintenance, vendor relationships, and building needs
- Assist with website updates, social media, newsletters, and firm communications
- Support new business onboarding and CRM administration
- Help maintain accurate information within Salesforce
- Coordinate onboarding logistics for new employees, including office setup, equipment, and business cards
- Become a commissioned Notary Public
- Assist with special projects and continuously improve firm systems and processes

Pay: $60,000.00 - $70,000.00 per year
